Your IT Account

Student IT Accounts

  • Accounts are disabled monthly based on data in the student record system. Accounts are disabled for anyone who no longer has a live status (i.e. your enrolment has been marked as Complete or Withdrawn).
  • This process will not run in July or August to avoid any disruption to departing students who may be taking resits or working for UoP during Clearing or Open Days over the summer.
  • If your IT accounts is due to be disabled you will receive an email on the second Thursday of the month informing you of what is about to happen.
  • Two weeks later
    • If your studies are continuing and your student record has been amended by your Faculty, your IT account will be automatically removed from the disablement process and will remain active.
    • If no changes have been made in the record system your IT account will be disabled.
  • 3 months later your account will be permanently deleted.  Once deleted, content from the account (such as email from the mailbox and files from the OneDrive) are purged and cannot be recovered.

Backing up your OneDrive files

As a University of Plymouth student, you have access to OneDrive personal storage.

However, once you have completed your studies, your IT account will be disabled and so it is important that you back up your OneDrive files before you lose access.  Please refer to the above section for more information on account disablement.

Please ensure that you leave yourself plenty of time to back up your OneDrive files.  Once your account is permanently deleted, content from the account is purged and cannot be recovered. 

The user is responsible for ensuring that all work is backed up.  We cannot be responsible for data loss.  Please refer to our Student IT Support Policy 

Planning Ahead

Consider backing up your OneDrive on a regular basis, especially files that you don’t need to update or access regularly but would like to keep.  You don't need to delete files at this point, but planning ahead may help to reduce the amount that you need to back up at the end of your course. 

Try not to back up too many files at the same time, this can sometimes cause issues and be very time consuming.  Instead, back up in smaller chunks.

Storage

Whilst it may appear convenient to back up work on USB sticks, external hard drives etc. these can sometimes present their own problems and are not considered to be ideal for long-term or sensitive data storage.  Cloud storage is generally a more secure option.
